  5. UI Transition: Upon receiving the 202 response, the Add-on transitions the user interface to a “Processing” or “Loading” state, freeing up the Workspace UI thread and completely avoiding the dreaded 30-second timeout error.

The Cloud Run service acts as your heavy-lifting sidecar. Because we are returning an immediate HTTP 202 response to the Add-on, the actual processing must happen asynchronously within Google Cloud.

To implement this robustly, you have two primary deployment strategies for the Cloud Run service:

  • CPU Always Allocated: You can configure your Cloud Run container with the “CPU always allocated” flag. This allows the container to return the HTTP response to the Add-on but keep the CPU active to finish the background thread processing the data.

  • Pub/Sub Decoupling (Recommended): For true enterprise-grade scalability, the initial Cloud Run endpoint simply takes the Add-on’s request and publishes it as a message to a Google Cloud Pub/Sub topic before returning the 202 response. A second Cloud Run service (or a different route on the same service) is then triggered by the Pub/Sub subscription to perform the actual long-running task.

Regardless of the execution strategy, your Cloud Run service must be secure. You should deploy the service with Require Authentication enabled. In your Add-on, use ScriptApp.getIdentityToken() to fetch an OpenID Connect (OIDC) token and pass it in the Authorization: Bearer header.

As the Cloud Run service processes the data, it updates the job’s state in Firestore (e.g., moving from PENDING to PROCESSING, and finally to COMPLETED or FAILED), alongside any output data or error logs.

With the heavy lifting offloaded and the Add-on displaying a loading screen, the final architectural hurdle is informing the user when the task is complete. Because Google Workspace Add-ons are largely stateless and do not support persistent WebSockets, we must implement a polling mechanism to check the status of the jobId.

The implementation varies based on the UI framework of your Add-on:

  • HTML Service (Sidebars and Dialogs): If you are building an Editor Add-on using HTML/CSS/JS, polling is straightforward. You can implement a client-side setInterval loop in your JavaScript that executes a google.script.run function every 3 to 5 seconds. This Apps Script function queries Firestore or CacheService for the jobId. Once the status returns as COMPLETED, the client-side script clears the interval, retrieves the processed payload, and dynamically updates the DOM to display the results.

  • Card Service (Workspace Add-ons): The Card Service framework does not natively support background auto-polling. To work around this, you can implement a “Check Status” Action button on the loading card. When clicked, the Add-on queries Firestore for the jobId. If the job is still running, it returns a Notification that processing is ongoing. If completed, it returns an ActionResponse that pushes a new Card onto the stack containing the final results. Alternatively, for tasks that take several minutes, you can design the Cloud Run service to send an email notification or a Google Chat webhook to the user once the job completes, entirely removing the need for them to keep the Add-on open.

If your sidecar handles sensitive OAuth tokens for Workspace users, ensure those tokens are encrypted in transit and at rest, leveraging Cloud KMS if necessary.

Cloud Run is designed to be strictly stateless, and instances can be spun up or destroyed at a moment’s notice. However, Workspace Add-ons often require handling state—such as processing Gmail attachments, transforming Google Drive files, or caching user session data.
